Congratulations on receiving a City of Santa Barbara Arts Grant. The following information is a timeline to assist grant recipients in completing the necessary paperwork to receive your 2018-2019 City of Santa Barbara Community Arts, Organizational Development, or Events and Festivals grant funds.

GRANT NOTIFICATION EMAIL SENT- NO LATER THAN AUGUST 17, 2018

You should have received your grant notification letter no later than August 17, 2018. If you have not received an email with your grant notification, please contact Hannah Rubalcava at hannah@sbac.ca.gov

MANDATORY GRANT RECIPIENT WORKSHOP- AUGUST 29, 2018

One representative from each organization is required to attend the grant recipient workshop. This workshop will cover changes in the grant paperwork and deadlines and serve as an opportunity to ask any questions about the process.

REVISED BUDGETS DUE- SEPTEMBER 7, 2018

Revised budgets serve as the basis for your grant agreement and contract. The revised budget is listed as the two columns on your grant application budget that you did not complete as part of your grant application. You will need to complete the revised budget and upload it in the grants portal and complete the "Revised Budget Report" no later than September 7.

CONTRACTS SIGNED AND EXECUTED- SEPTEMBER 30, 2018

Once the Office of Arts and Culture has received your revised budget, a grant agreement will be drafted and emailed to the contact person listed in the grants portal. The grant agreement must be signed and uploaded to the grants portal with the required insurance certificates no later than September 30, 2018.

AWARDS RECEPTION-  OCTOBER 9 from 1:00-2:30 p.m.

Please join Mayor Cathy Murillo, Members of City Council, City Arts Advisory Committee Members, City Events & Festival Committee Members, the Office of Arts and Culture and fellow grant recipients for a photo opportunity and reception on the front steps of City Hall at 735 Anacapa Street on a date to be determined in October. We hope you will join us in City Council Chambers, where a proclamation declaring Arts & Humanities Month will be presented to officially recognize the extraordinary contribution programs such as yours make to Santa Barbara residents’ quality of life and to the regional economy.

GRANT PAYMENT DISBURSEMENT: SEPTEMBER 7, 2018-JUNE 1, 2019*

Once your grant contract has been fully executed, grant funds are available as a reimbursement for expenses that have already been incurred. Grantees are able to submit for up to 90% of the grant award as expenses are incurred. Requests for funds must be made through the grants portal. Grant funds may take up to 30 days to process.

GRANT CREDIT

The City of Santa Barbara funds the Community Arts, Organizational Development, and Events and Festivals grant programs. Please recognize the City of Santa Barbara as a funder by using the City logo in all materials announcing or promoting your grant program. The Office of Arts and Culture administers this program and grant recipients are welcome to include our logo on materials. Logos are available for download at sbac.ca.gov/city-grants.

FINAL REPORTS COMPLETE- JUNE 1, 2019*

The final report for your grant project must be submitted through the grants portal no later than June 1, 2019. We strongly encourage grantees to review the reference evaluations prior to the start of your grant project. Reference evaluations can be found on our website at: http://www.sbac.ca.gov/city-grants/

FINAL INVOICE SUBMITTED- JUNE 1, 2019*

The final invoice must be submitted by June 1, 2019 and will only be paid once the final report has been completed.

*If your project will not be complete by June 1, 2019, a date extension must be approved and completed by the Office of Arts and Culture.
